1. Summary
Orbis Social is provided by Orbis Digital Ltd ("we"). Customers connect Facebook Pages and Instagram professional accounts so that they can schedule and publish content. We access the Page and Instagram account details, access tokens (encrypted at rest) and the content that customers publish. Our Privacy Policy gives the full details.
You can disconnect at any time, and you can ask us to delete your data by emailing support@orbisdigital.co.uk.
2. Disconnect an account in Orbis Social
If you have access to the Orbis Social workspace:
- Log in at app.orbissocial.co.uk.
- Go to the brand that the account is connected to, and open its connected accounts.
- Choose the Facebook Page or Instagram account, and disconnect it.
Disconnecting erases the account's access token. Posts queued for that account then fail with a needs-reconnecting message rather than being sent.
3. Remove access from Facebook or Instagram
You can also remove our access from Meta's side, whether or not you can log in to Orbis Social:
- Facebook: open your Facebook settings, go to Business Integrations, find Orbis Social and remove it.
- Instagram: open your Instagram settings, go to the section for apps and websites, find Orbis Social and remove it.
Meta sometimes changes the names of these menus. If you cannot find them, search for "business integrations" in Facebook's Help Centre. Removing access stops us using the connection, but it does not by itself delete data that we already hold. To ask for that, follow the next section.
4. Ask us to delete your data
Email support@orbisdigital.co.uk with the subject line "Data deletion request" and tell us:
- your name and the email address on your Orbis Social account, if you have one;
- the name of your business, and the Facebook Page or Instagram account concerned;
- whether you would like us to delete specific data, one connected account's data or your whole account.
You can also call us on 0330 223 7919, but we may ask you to confirm the request by email. We may need to check that you have the authority to make the request, so that nobody else can delete your data. We will acknowledge your request, tell you what we have done, and respond within one month. If a request is complex, we may extend this by up to two further months, and we will tell you if so.
5. What we delete and what we may keep
| Data | What happens |
|---|---|
| Access tokens | Erased when you disconnect an account or when we action your deletion request. |
| Connected Page and Instagram account details | Deleted when we action your deletion request. |
| Posts, captions, media, Brand Brain content, ideas and comments | Deleted on your instruction, or within 90 days after your account is closed. |
| Account and user records | Deleted or anonymised after account closure, and within 12 months at the latest, unless we need to keep them for a reason below. |
| Security, audit and access logs | Kept for up to 12 months, then deleted. |
| Billing records, if any | Kept for 6 years after the end of the financial year, as required by UK tax and company law. |
| Backups | Deleted data drops out of our rolling backups within 14 days. |
We may also keep information where the law requires it, or where we need it to establish or defend a legal claim. If we cannot delete something, we will explain why.
6. Content already published
Deleting data from Orbis Social does not remove posts that have already been published. Those posts are held by Facebook and Instagram. To remove them, delete them on Facebook or Instagram directly. Meta's handling of data is covered by Meta's own privacy policy.
7. If you are not an Orbis Social customer
Customers decide what they publish through Orbis Social. If a post mentions you or shows you, please contact the business that published it first, because it controls that content. You are also welcome to email us. We will help where we can, including by passing your request to the customer concerned.
8. Questions and complaints
Contact us at support@orbisdigital.co.uk or on 0330 223 7919. Our address is Orbis Digital Ltd, 66 Paul Street, London, EC2A 4NA. If you are unhappy with how we have handled your data, please tell us first. You can also complain to the ICO (or its successor, the Information Commission) at ico.org.uk or on 0303 123 1113.
